Email Migration, answered

The questions businesses ask us most before moving their email to Microsoft 365.

No. We migrate a full copy of your mail and folder structure into Microsoft 365 while your existing email stays untouched, then run a final sync at cutover to catch anything that arrived during the move. Your old mailbox isn't deleted until you've confirmed everything is present and correct in the new system, so there's always a safety net.

No — that's the whole point of doing it carefully. We copy your data in the background while you keep using your current email normally. The only real change is the cutover, when we switch your MX records to Microsoft 365, and we schedule that for a quiet time. Because old and new run in parallel around the switch, messages keep flowing and nothing bounces.

Yes. From an Exchange or Google source, calendars and contacts migrate alongside your mail automatically. From a plain IMAP or webmail source — like cPanel hosting — email migrates directly, while calendars and contacts are exported and imported separately, which we handle for you. Either way, you arrive in Microsoft 365 with your appointments and address book intact.

We migrate those too. Shared mailboxes (like info@ or accounts@), distribution groups, and aliases are all recreated in Microsoft 365 with the right permissions, so your team carries on exactly as before. We map all of this during the assessment so nothing is missed when we cut over.

A few important reasons. A personal address like [email protected] looks unprofessional and undermines trust with clients. More seriously, you don't really own or control it — if the account is lost or locked, so is your business communication, and you can't manage it centrally or apply business-grade security. Moving to email on your own domain gives you ownership, professional branding, shared calendars, proper security, and the ability to add or remove staff cleanly.

For most small businesses, the whole project runs from a few days to about two weeks, depending on the number of mailboxes and how much email history there is. The data copy happens in the background over that period without affecting you, and the actual cutover is brief. After an assessment we'll give you a clear timeline and a cutover date that suits your schedule.

There's a little setup after cutover, but we handle the heavy lifting. We reconfigure Outlook on computers, set up mail on phones, and confirm each person can send and receive before we consider the migration done. With Microsoft 365's Autodiscover, most accounts configure almost automatically — and we're there to support anyone who hits a snag.
